1. Who?
This privacy policy applies to the services of ALIDES REIM NV, with registered office at 9000 Ghent, Foreestelaan 86/201, with company number BE0478.405.285, legally represented by bv Real Value Management, permanently represented by Mr. Rikkert Leeman, CEO and Chairman of the Executive Committee, and by bv HLSC, permanently represented by Mr. Henk Cardon, CFO and Member of the Executive Committee (“ALIDES”).
ALIDES REIM acts as the data controller for all personal data that it or one of its affiliated or associated companies collects and processes. Our employees and associates involved in the collection and processing of personal data act in accordance with this privacy statement.
ALIDES is a driven team consisting of seasoned real estate professionals who primarily focus on guiding clients. In all our activities, trust, integrity, and long-term commitment are central.

By using the services of ALIDES, you indicate that you have taken note of this privacy policy and consequently accept the collection and processing of your personal data in the manner described herein. This privacy policy describes the operation of the services provided by ALIDES, specifically how ALIDES collects, uses, protects, and shares data.
The personal data you provide to us will only be used for the services or purposes for which you have given your consent. ALIDES complies with European Regulation 2016/679 of April 27, 2016, regarding the protection of personal data, as well as the Belgian Framework Act of July 30, 2018, regarding the protection of natural persons with regard to the processing of personal data.
2. WHICH DATA?
By personal data, we mean all information about an identified or identifiable natural person (the “Data Subject”). A natural person who can be identified, directly or indirectly, is considered identifiable. This includes applicants, employees, prospects, clients (both buyers and tenants), suppliers, etc.
We collect personal data through various channels:
2.1. Information we receive directly from the Data Subject through contact with ALIDES via email, telephone, our website or contact form, the software, or by registering for our newsletter.
This concerns the following information:
- Surname and first name
- Email address
- Address
- Telephone number
- Financial data
- The company for which you may be submitting a request
- Your preferred language for communication with ALIDES
We will store your data in our database for the purpose of potential collaboration, employment, or service provision.
We may occasionally request additional information. In such cases, this information will always be limited and proportionate to what is strictly necessary for the requested service.
2.2. Information we collect through publicly available sources
The information we find on publicly available sources (such as LinkedIn, the website of the company on whose behalf a request is made, etc.) may be combined with the information you, as the data subject, have provided to us yourself.
2.3. Information we collect through cookies
When you visit our website, we collect data such as your IP address, the pages you visit on our website, your preferred language, etc. We collect this information through the use of cookies. 3. What is the data used for?
ALIDES collects and processes personal data to fulfill the purposes listed below. Your data will not be used for other purposes without informing you in advance and, if necessary, requesting your consent.
3.1. To provide you with information about the services and other activities of ALIDES and to better align these with your needs and wishes.
3.2. To enter into a business and/or employment-related relationship with you or your company and to correctly fulfill the agreement you conclude with us.
3.3. To invite you to events and newsletters.
3.4. To comply with our legal obligations (including accounting processing, tax obligations, and obligations in the context of court orders or other mandatory laws and regulations).
4. On what legal basis?
ALIDES relies on various legal grounds for processing your data.
ALIDES processes your personal data after the signing of an agreement, quote, order confirmation, or purchase order, with a view to preparing or executing the service.
ALIDES may also request your explicit consent for processing your personal data.
In addition, ALIDES may rely on legitimate interest in certain circumstances.
If you do not want your personal data to be processed in this context, it will not be possible for us to fully enter into or execute the service provision.
5. With whom do we potentially share your data?
ALIDES may only transfer your personal data to third parties if this is necessary for the realization of the execution of the service.
If ALIDES transfers your personal data to third parties, a data processing agreement is concluded with these third parties, which stipulates, among other things, that your personal data will be treated confidentially and processed securely. It is possible that one or more of the aforementioned third parties are located outside the European Economic Area (“EEA”). However, personal data will only be sent to third countries with an adequate level of protection.
We may also share your personal data with our affiliated companies. To this end, we have concluded an intra-group data sharing agreement with the aforementioned companies.
The confidentiality of your data is important to us; we only exchange personal data via maximum-security electronic means. Your data will never be traded, sold, rented, or passed on to third parties or non-processors unless there is a legal obligation to do so.
6. How long do we keep your personal data?
Personal data is kept and processed by ALIDES for a period necessary for the purposes of the processing and in function of the contractual relationship between ALIDES and you. Relevant legal and regulatory requirements regarding data retention are taken into account.
We may also retain it to comply with our legal obligations, respond to inquiries and resolve any disputes, meet our legitimate interests, and enforce our rights.
7. Appropriate technical and organizational measures
ALIDES has taken appropriate technical and organizational measures regarding security to avoid, as far as possible, the destruction, loss, falsification, modification, unauthorized access, or accidental notification to third parties of personal data, as well as any other unauthorized processing of this data.
In this context, ALIDES pays special attention to the security of computer systems, using, among other things, strict password management.
We require all our service providers to have taken appropriate measures to maintain the security of your information. In no event can ALIDES be held liable for any direct or indirect damage resulting from incorrect or unlawful use of your personal data by a third party.
Security and management procedures are reviewed on a regular basis in accordance with the latest technological developments. ALIDES stores your personal data in its database on a secure server. Access to the database is only possible for authorized persons involved in the processing of the data.
8. Rights of data subjects
You have the right to access your personal data free of charge at any time and to exercise your rights listed below.
8.1 Right of access, rectification, and restriction
You are free to communicate your personal data to ALIDES or not. In addition, you always have the right to request ALIDES to inspect, correct, supplement, or restrict your personal data.
8.2. Right to erasure
You have the right to ask us to remove your personal data from our database. However, this right may be limited due to legal obligations. You acknowledge that if you refuse communication or request the deletion of personal data, certain services may not be available.
8.3. Right to object
You have a right to object to the processing of your personal data for serious and legitimate reasons. In addition, you always have the right to object to the use of personal data for direct marketing purposes.
8.4 Right of free data transfer (data portability)
You have the right to obtain your personal data provided by you to ALIDES in a structured, commonly used, and machine-readable form and/or to have it transferred to other controllers.
8.5. Right to withdraw consent
Insofar as the processing is based on your prior consent, you have the right to withdraw that consent. You have the right to withdraw your consent for the further use of your personal data for a specific study. However, this right may be limited due to legal obligations or the need to keep it in archives for further scientific research. After validation of your request, your personal data will be removed from the ALIDES database.
8.6. Exercise of your rights
You can exercise your rights by contacting ALIDES, either by email via privacy@alides.be or by post to ALIDES REIM NV, attn. the privacy officer, Foreestelaan 86/201, 9000 Ghent. With such a request, you must always attach a copy of the front of your identity card.
A request may be refused if it is unreasonably repetitive or systematic.
8.7. Automated decisions and profiling
The processing of your personal data does not include profiling and will not be subject to automated decisions by ALIDES.

As the data controller, we confirm that when processing personal data, we always take into account the European General Data Protection Regulation (GDPR) and the Belgian Act on the protection of natural persons with regard to the processing of personal data of July 30, 2018.

Your personal data is processed:

2. Identification of personal data
In the context of your application at Alides Reim, we process the following personal data, which is necessary for the application process and also has legitimate interest as a legal basis: your general contact details (name, address details, email address, telephone number), payroll information (national register number, seniority, marital status, bank account number, family composition, date of birth), provided references from former employers, your CV (including provided information), your motivation letter (including provided information), your salary and salary slips, notes made during the job interview, and, if applicable, your photo.
3. Purposes and legal basis for the processing of personal data
The above data is processed for the purpose of completing the application process. With your consent, this data is also processed for contact regarding potential future vacancies within our organization. Your response to our vacancy counts as an active act by which you give your informed, free, specific, and unambiguous consent for the processing of your data. You can withdraw this consent at any time.
3. Purposes and legal basis for the processing of personal data
The above data is processed for the purpose of completing the application process. With your consent, this data is also processed for contact regarding potential future vacancies within our organization. Your response to our vacancy counts as an active act by which you give your informed, free, specific, and unambiguous consent for the processing of your data. You can withdraw this consent at any time.
4. Transfer of personal data
Your personal data will not be sold, rented, distributed, or passed on in any way to any other third party without prior consent.
Your data will not be transferred outside the EU, nor used for automated decision-making.
5. Retention periods
After the application period has ended, your personal data will be kept for a maximum of one year or until you withdraw your consent for this.
In the event of further recruitment, all data will be kept at least for the legal retention periods.
6. Rights of the data subject
As an applicant, you can exercise the following rights:
- Right of access – by exercising this right, you can obtain both access to and a copy of the personal data we process about you.
- Right to rectification – by exercising this right, you can always have changes to your personal data corrected or completed. An adjustment follows upon simple request.
- Right to erasure – by exercising this right, you can request the deletion of your personal data if irregularities occur in the processing.
- Right to restriction of processing – by exercising this right, you can request that processing be restricted if inaccuracies occur and a request for correction is pending, or if you believe an irregularity has occurred. This means that your personal data may only be further processed with your consent. Mere storage of the personal data is not affected by this, nor is any processing in the context of legal proceedings, for the protection of natural or legal persons, or for important reasons of public interest.
- Right to portability – by exercising this right, you can ask to have the data you provided returned or transferred directly to a third party in an accessible format. Such a right may be limited by exercising a specific proportionality exercise.
- Right to refuse automated data processing – by exercising this right, you can indicate that you do not wish your personal data to be part of fully automated data processing and processes without human intervention.
- Right to withdraw consent – by exercising this right, you can withdraw previously given consent at any time. This will stop any further processing.
